We interviewed front-desk staff and reviewed call recordings to map out the most common call types and bottlenecks. The biggest time sinks were appointment scheduling, insurance/payment questions, and repeat inquiries about services.
Information Architecture
We designed a call-flow framework that prioritized automation for repetitive tasks — confirming appointments, sending reminders, collecting basic patient info — while escalating complex cases (medical concerns, emergencies) to a human receptionist.
Wireframing & Prototyping
